Privacy Policy
Padel Club Collective (“PCC”, “we”, “us” or “our”) operates pcc-clubos.com, PCC ClubOS and related competition, membership and community services. This Privacy Policy explains how we collect, use, disclose, retain and protect personal data.
For questions or requests about personal data, contact admin@pcc-clubos.com. Our current operating location is Bali, Indonesia. We will update this Policy when PCC’s formal operating entity and registered address are confirmed.
1.1 Scope
This Policy applies to players, club administrators, staff, volunteers, website visitors and other people who interact with PCC, its competitions or ClubOS. Partner clubs may also have their own privacy responsibilities and policies when they collect or use personal data independently.
1.2 Personal data we may collect
· Identity and profile data, such as name, date of birth or age category, gender or competition division, photograph, player profile and club affiliation.
· Contact and account data, such as email address, telephone number, login credentials, account role and communication preferences.
· Competition data, such as registrations, availability, fixtures, appearances, partners, opponents, scores, rankings, qualifications, disciplinary records, withdrawals and reserves.
· Transaction data if paid services are introduced, such as payment status, amount, currency and transaction reference. PCC should not store full payment-card details when a payment provider is used.
· Technical and usage data, such as IP address, device and browser information, login activity, security logs, pages viewed and essential cookie identifiers.
· Communications and support data, including messages, enquiries, complaints, feedback and records needed to resolve them.
· Images and media, such as event photographs or video, where appropriate notice and any required consent have been provided.
Please do not provide health or other sensitive personal data unless PCC specifically requests it for a legitimate and clearly explained purpose. Emergency or accessibility information should be limited to what is necessary.
1.3 How we collect data
We may collect data directly from you, from a parent or guardian, through a participating club or authorised administrator, through ClubOS and website forms, during competitions, from service providers, or from records generated through participation in PCC activities.
1.4 Why we process personal data
We process personal data only where there is an appropriate lawful basis and for stated purposes, including to:
· create and administer accounts, registrations, seasons, divisions and club participation;
· schedule and operate fixtures, record official results, calculate rankings and determine qualification;
· publish appropriate competition information, including player names, clubs, scores, fixtures and rankings;
· communicate operational notices, fixture information, safety information and service updates;
· manage fees and payments where applicable;
· prevent fraud, manipulation, abuse, unauthorised access and other security incidents;
· respond to enquiries, disputes, corrections, withdrawals and data-rights requests;
· improve and maintain ClubOS and understand service performance;
· comply with legal obligations and establish, exercise or defend legal claims; and
· send optional marketing communications or use optional media where consent is required and has been obtained.
Depending on the activity, processing may be necessary to provide requested services or perform an agreement, comply with law, pursue legitimate operational and security interests, protect vital interests, or rely on consent. Where we rely on consent, it may be withdrawn, although this does not affect processing already lawfully completed.
1.5 Public competition information
PCC is a competitive league and certain information may be publicly displayed, including a player’s name, club, division, fixtures, results, ranking, appearance count and qualification status. Before registration, players must be clearly told which fields will be public. Contact us if publication creates a specific safety or privacy risk; we will assess reasonable restrictions while preserving competition integrity.
1.6 Age restriction
PCC and ClubOS are intended only for people aged 18 or over. We do not knowingly permit under-18s to register or participate through the service. If we learn that we have collected personal data from someone under 18, we will suspend the account and delete or restrict the data unless retention is legally required. Contact admin@pcc-clubos.com if you believe an under-18 has provided personal data to PCC.
1.7 Sharing personal data
We may share personal data only where necessary with:
· participating clubs, authorised club administrators, officials and event personnel;
· technology, hosting, database, authentication, email, analytics, payment and support providers acting under appropriate instructions;
· professional advisers, insurers, auditors or prospective corporate transaction parties subject to confidentiality;
· government bodies, regulators, courts or law-enforcement authorities where required or legally justified; and
· other parties where you have directed us or given valid consent.
We do not sell personal data. Service providers may process data only for the relevant service and must be subject to suitable data-protection and security arrangements.
1.8 International data transfers
Some technology providers may store or process data outside Indonesia. Where personal data is transferred internationally, PCC will take steps required by Indonesian law, which may include assessing the destination’s protection, using binding safeguards or obtaining consent where legally necessary.
1.9 Retention
We retain personal data only for as long as reasonably necessary for the purpose collected, competition integrity, account administration, security, legal compliance and dispute resolution. Active account and season records may be kept while the account or competition remains active. Official results and rankings may be retained as a historical sporting record, subject to appropriate minimisation. Guardian-consent records, transaction records and security logs may be kept for applicable limitation, audit or legal periods. Data that is no longer required will be deleted, anonymised or securely destroyed.
1.10 Security and personal-data incidents
We use reasonable organisational and technical safeguards designed to protect personal data, including access controls, role-based permissions, authentication, logging, secure service providers, backups and vulnerability management where appropriate. No online service can guarantee absolute security. If a personal-data protection failure occurs, PCC will investigate and provide notifications within the periods required by applicable law.
1.11 Your rights
Subject to applicable law, you may request information about processing, access to your data and processing history, correction or completion, deletion or destruction, withdrawal of consent, restriction or cessation of processing, objection to certain automated decisions, data portability where applicable, and compensation or other remedies where legally available.
Send requests to admin@pcc-clubos.com. We may need to verify your identity and authority. Some requests may be limited where retention or processing is required by law, necessary to protect another person, or needed for legal claims or competition integrity. We will respond within applicable legal time limits.
1.12 Communications and marketing
Operational communications about accounts, fixtures, results, safety and material service changes are part of the service. Optional marketing communications will include an unsubscribe method where required. Withdrawing from marketing does not prevent essential service messages.
1.13 Third-party links and club services
Our service may link to club websites, social platforms, maps, payment services or other third parties. Their privacy practices are governed by their own notices. PCC is not responsible for an independent third party’s data practices.
1.14 Changes and contact
We may update this Policy as PCC, ClubOS or applicable law changes. Material changes will be posted with a revised effective date and, where appropriate, notified directly. Contact admin@pcc-clubos.com for privacy questions, complaints or requests.
